A student management system designed for the New Zealand tertiary educator
We have worked with Public Trust to design an electronic system that gathers information already in Take2 and sends it to Public Trust to be processed.
Public Trust offers a fee protection service for training providers. The service allows for student fees to be paid into a trust account. Then, when the fees are due, the money can be transferred from the trust account to the provider.
Previously a provider had to manually enter student, enrolment and fee information onto the Public Trust Website. Public Trust then processed that information. That process changed when we worked together and designed an electronic system that gathers information already in Take2 and sends it to Public Trust to be processed!
Take2 users who are registered to use the Public Trust functionality can now send data for multiple students to Public Trust via email, thus saving duplicate data entry and ensuring reliable data delivery.
How Does It Work?
Student and enrolment information is entered into Take2 in the normal way. The new Take2 functionality allows you to assign fees to enrolled students. The fee information entered is consistent with the information required by Public Trust. Take2 then allows you to create a batch file that is sent to Public Trust for processing.
Public Trust will then send back to you an email with the forms for the students to sign attached to be printed out.
Please note: you require a special licence from Adapt IT Australasia to use the Public Trust Fee Protection functionality.
The Public Trust Fee Protection Process
A student is added into Take2 and enrolled into a Programme.
A fee line is created for the student. The fee can be broken into five different categories: tuition, accommodation, bailment, living expenses and insurance fees. The information entered is consistent with Public Trusts requirements.
Using the Fee Trust Account module, you can select a list of students to process. You can view each student's fee lines and update them if necessary.
Take2 then runs a validation to ensure the data is correct and ready to send to Public Trust. After validation you create a batch file containing the student, enrolment and fee information for each student.
This batch file is then emailed to Public Trust for processing.
On the students Enrolment Details form there is a new sub-form called Trust Account. Here you can create, view and edit the fee information that will be sent to Public Trust for processing.
To make life even easier, processing fee information for multiple students can be done from the Fee Trust Account module.
Processing Information To Send To Public Trust
A new module has been created in the Enrolment section of Take2 – Fee Trust Account. This module allows you to create, view and edit the fee information of each student and to create a batch file to email to Public Trust.

If you are running the current version of Take2 then you will not need to download any further software, however if you are not running the latest version of Take2 we strongly recommend that you take this opportunity to do so. The Public Trust Fee Protection functionality is turned on via registration code update so you will need to contact the help desk with your request. On purchasing of the Public Trust Fee Protection functionality the helpdesk will supply you with the necessary registration code, supporting documentation and instruction on how to get started.
